Privacy policy

1. About Vectis Works and this policy
Vectis Works designs and builds software, data systems and shop-floor dashboards for manufacturing companies. Its office is at 100 Powell Place #1170, Nashville, TN 37204. This policy explains how personal information is handled on vectistechnologies.com and in the business emails that Vectis Works sends. References to "we" or "us" mean Vectis Works.
2. Why and how we contact people
Our emails go to people whose work connects to what we do, typically those responsible for operations, plants, engineering or IT at manufacturing businesses. Messages are sent to a work email address. On occasion we might phone a business number, or post a letter to a company's business address. We write only where our services may be of use to that business, and anyone who asks us to stop is not contacted further.
3. The information involved
Depending on what is available, we may hold:
- a person's business contact details: their name and job title, the company they work for, a work email, a business phone and a link to their professional profile;
- details about the company itself, meaning its name, website, industry, size, location and business address;
- activity the company has made public, for instance news coverage, job postings or public posts;
- email deliverability check results, telling us if an address is able to receive messages;
- messages exchanged with you, and the notes we make on them;
- information from visits to this site. No cookies are set and no analytics run here. Standard technical logs, including IP addresses and browser types, are kept by our hosting provider so it can serve and protect the site. Google Fonts supplies the typeface, and so it receives the IP address of each visitor.
Sensitive categories, for instance government ID numbers, financial account numbers or health details, are not collected.
4. Our sources
We draw on three kinds of source: publicly available material, such as professional networking profiles, news sites, job boards and company websites; commercial vendors that supply business contact and company data; and you yourself, whenever you answer an email, complete a form or talk with us.
5. What we do with it
This information is used to:
- assess whether a company might have a use for our services;
- write to you at work about them;
- check an address is valid before any email goes to it;
- respond to you and, at your request, talk through or deliver our services;
- keep a do-not-contact list up to date;
- protect our systems and comply with the law.
We do not track whether our emails are opened.
6. Stopping our emails
To stop, answer any of our emails and say you want no more. Any phrasing is fine. If we phone you, you can tell the caller instead. Your request is handled promptly and never takes longer than 10 business days.
After that, your name and email address stay on our do-not-contact list, which prevents further contact even when your details come to us again through another source.
7. Who receives it
Personal information is never sold or rented by us, and we do not pass it to other businesses for their own marketing or for advertising targeted at you. The only recipients are:
- providers that carry out services for us, for example mailbox and email providers, email verification services, business data suppliers, and data storage and hosting companies, each allowed to use it solely to serve us;
- public authorities or others, when legally required, or when needed to protect rights, property or safety;
- anyone who buys or succeeds to our business, on the condition that they keep protecting it in line with this policy.
8. Retention
Business contact records are held while they help us contact businesses; outdated records are refreshed or deleted. Where you become a client, we retain records for the length of the engagement and for whatever period legal and accounting duties demand. Entries on the do-not-contact list remain for the whole time we contact businesses, so that opting out keeps working.
9. Security
Only people who need this information can access it, and it is protected by reasonable organizational and technical safeguards. Because no method of storage or transmission is perfectly secure, absolute security is not something we can promise.
10. Your rights and requests
You are entitled to ask us:
- which information about you we have, and its source;
- to fix anything inaccurate;
- to erase your information, apart from the do-not-contact entry that lets us keep respecting your opt-out.
Residents of some states, California among them, may have extra rights under state privacy law, such as rights to know about, correct or delete personal information and to opt out of its sale or sharing. Vectis Works does not sell or share personal information. Exercising any of these rights has no effect on how you are treated.
Requests can be sent as a reply to any of our emails, through the vectisworks.com contact form, or by post to the address in section 14. We may check a request by asking you to confirm which email address we wrote to, and we answer within the period the law permits. Someone you have authorized to act as your agent may submit a request on your behalf.
11. Children
Vectis Works serves businesses, and its emails are business communications. We do not knowingly gather information about people under 18.
12. Location
Vectis Works operates from the United States and contacts US businesses. Processing takes place in the United States and wherever our service providers do their work.
13. Updates
Any revision to this policy is marked by a new effective date at the top of the page.
